Grace Removals has selected Zavanti, the Australian reseller of Corda CenterView, to enhance its strategic management reporting. Corda CenterView uses its powerful dashboard technology for integrated data visualisation and it is a simple and complete solution offered only by Zavanti.
Grace Removals were looking to implement a dashboard web page for their management teams around the country. The idea was to use simple graphics to convey the data to the users and also allow the users to drill down into the data for further information. Zavanti had the best solution to satisfy this requirement. Grace Removals IT Manager, Howard Malyon was impressed by the Zavanti offering; “...we wanted a product which was cost effective and easy to implement. We had already looked at a couple of other products and after running pilots of these products, found they were not going to be right for Grace...Corda product and Zavanti seemed to be the perfect fit for us”.

Tasmanian Irrigation Development Board go live with Zavanti ERP and Weblogics.

SYDNEY, Australia – November 15, 2009 – The Tasmanian Irrigation Development Board (TIDB) have gone live with Zavanti’s Construction Enterprise Resource Planning (ERP) and Zavanti’s document collaboration and control solution based upon Weblogics’ products; Intralogic, EmailLogic and Blueprint.
TIDB selected Zavanti ERP in early 2009 after an open tender process, to manage all the activities for their 12 major projects with total infrastructure goals of $400m. Dashboard Spotlight: Trinity Technologies eliminates Manual Reporting with Corda

Coordinating and managing the integration of content management systems with other business applications across multiple clients posed a major challenge for integrator Trinity Technologies.

Each week, Trinity’s financial administrator was tasked with manually capturing data from QuickBooks, spreadsheets, an SQL database and other sources and creating a report. This task took, on average, three to four hours to complete each week and the information in the report could be up to a week old. In addition, the report didn’t clearly highlight areas demanding immediate attention because of its inadequate data visualisation. For example, companies over 90 days delinquent on payments needed to be flagged for immediate attention and action.

Projects that had used more than 80% of their budgets also needed to be flagged for attention by project leaders. Trinity determined it needed the power of an application that could capture data from multiple sources and represent theinformation visually, in real time, to promote better understanding.

After exploring other dashboard solutions on the market, Trinity implemented a Corda CenterView performance dashboard. The ‘Problem’ with Project Management

In his latest blog post, Jed Simms argues that it is not so much that ‘project management’ is the problem, its just that it is not the solution!

He explains that too often in people’s minds ‘project management’ is seen as the same as ‘project delivery’ — but it is not. ‘Project Management’ is the set of processes that organises, structures and controls project activities and is the equivalent of any other ‘management’ activity.

Simms uses a production line as an example, in that the operators create the goods (the value) and management organises the work, plans the production, pre-empts or deals with problems and so on. Management organises, structures and controls the value generating activities but does not directly generate or deliver the value.

In his view, this is why ‘project management’ has had so much difficulty trying to quantify its value. Project management is not, therefore, part of the value delivery stream (in our six stream model). Project management has to justify its contribution. Few would argue that large, complex programs of work can be effectively delivered without effective project or program organising, structuring and controlling. However, these processes contribute to, rather than directly deliver, value.

Simms advises that before applying project management techniques to projects you need to establish that the time and effort involved in project management will be offset by the value to the project (as opposed to the business).

This value can be in terms of:
Reduced project duration — benefits faster
Reduced wasted effort — less cost
More motivated, focused staff — increased productivity
Increased clarity of what is should be happening — increased (progress, financial, direction) control
Less risk — more certainty
Fewer issues — less unnecessary effort
Increased stakeholder support/comfort — greater business support

Yeah, but what does the software do?

Two things happened recently on the same day in the same organisation.

The first was I received a copy of a post implementation review report that basically said “We don’t know if we got the benefits from this project as the KPIs and other benefit measures were largely vague, unmeasurable or irrelevant.” Overall, the conclusion was that the project had ‘failed’ to deliver the results and benefits expected.

Not altogether surprising when you have ‘vague, unmeasurable and irrelevant’ goals. As the Cheshire Cat said to Alice in Wonderland, “If you don’t know where you’re going, any road will take you there!”

As frequent readers of my blog will know if there is one thing I hammer as vital to project success is the need to spend the time clearly and thoroughly define your desired business outcomes in clear, measurable terms; and then focus your whole project on their realisation.

But many people don’t get it.

The second was a workshop with some quite senior management. We’re developing a business case for this client and defining their value proposition in clear, measurable terms. Their reaction was …

“Too many benefits” I wonder how many times they’ve said that of a project!
“Too ambitious” We might actually deal with the root problems if we take this approach. Can’t we just deal with the easy symptoms and look like we’re doing something?
“Yeah, but what does the software do?” Thinking is hard, can’t we just adopt the software?

I was pleased to see that even the software expert said, “If there is anything I’ve learned from installing systems over the past 10 years it is that unless the business knows exactly what it is trying to achieve the software installation will be a failure.”

What this experience makes clear is that software and demos are being used as a replacement for thinking. And this is the nub of the problem — that people need help to think and that so many of the problems we have are as a result of a reluctance or inability to think.

UDIA (Qld) launch the Quarterly Development and Construction Industry Performance Report

The first quarterly Development and Construction Industry Performance Report has been released by the Queensland Urban Development Industry Association (UDIA) today.

The purpose of this new report is to closely monitor building approvals and unemployment in the development industry in these difficult economic times. A further purpose is to compare the performance of the various markets around Australia to more fully understand why some markets have significantly difficult periods and yet others appear to be able to continue functioning at a very successful level.

The report contains some interesting and very perplexing findings, with state government and local authority legislation and policies citied as the major issues causing the significant underbuild and under performance of Queensland development industry today. The complexity of legislation, significant overregulation of the industry, and more complex subdivision and building requirements are adding to the cost of property purchases. The report also discloses that the state is currently building at around half the rate that is required to meet underlying demand.

Housing affordability is another concern, with the same developers in Victoria as those who operate in Queensland delivering the same house in Victoria for $100,000 to $125,000 less. The report also highlights that the continued implementation of user pays charges for head works infrastructure has done little to ease matters. However, some local authorities have taken steps to phase in or restrict the impact of these charges as they are aware that an uncompetitive environment is the enemy of affordability.

In conclusion the report emphasises that the combination of an expensive market, the GFC and increased taxes and charges have already cost 18,800 construction and development employees their livelihoods and asks the question - “Where to from here?”

How PPM Provides Direction in Uncertain Economic Times

In a recent article, From the Project Manager's Desk, Industry Observation, Alex Hankewicz discusses how Project Portfolio Management (PPM) can provide direction in uncertain economic times.

Hankewicz explains that, "PPM is a process to obtain project management information of all resources, time, budget, and labor skills in order to align, manage, and review these elements–and to ensure deliverables are being met in terms of project milestones, in accordance with the work breakdown schedule".

In times of economic and business uncertainty, PPM may be the prescription to obtain successful IT project management results. However, Hankewicaz advises that, IT departments in many organisations are viewed by some in senior management circles as a huge money pit, a kind of necessary evil that generates little in terms of ongoing business development or growth.

As a result, it’s comes as no surprise that organisations take the reflex action to rapidly slash IT projects and budgets. However, Hankewicaz argues that, "without tools such as PPM to fully analyse the return on investments of IT projects, the organisation could be faced with even greater financial risk by either cutting badly needed IT infrastructure improvements or by maintaining costly legacy applications that in some cases are expensive to support".

Hankewicaz notes that as business looks for ways to reduce operating expenditures during the current economic slowdown, delaying and reducing IT project spending may not be the best long-term approach. He adds that a PPM solution equips an IT manager with the ability to measure an organisation’s available resources against pending projects, and align resources with business objectives, in order to fully measure return on investment (ROI) prior to launching a project.

In using a PPM tool, Hankewicaz believes that an organisation has the ability to position IT initiatives into a lexicon that key non-IT-management personnel can understand. Project spending can be viewed as way of analysing from both the total cost of ownership (TCO) and ROI perspectives and understanding how these projects relate to overall business strategy initiatives.

To conclude, Hankewicaz advises that PPM tools have been on the market for at least ten years, and economic slowdowns are not the only criteria to demonstrate PPM’s benefits. For example, the information collected from managing past projects can be used for estimating and planning future projects. If one can reduce subsequent project costs by as little as 5 percent spending on redundant processes and testing, then the cost savings can be significant. In some organisations, IT spending represents as much as 50 percent of the overall capital budget and it is with this mindset that PPM can respond to determining the value on how those investments will generate a return to support business objectives. One of the limiting factors of PPM, however, is that although it has provided business with a view to evaluate the value of IT projects, it can only focus on new project investment. If project spending represents 25 percent of an IT budget then this means 75 percent of an IT organisation’s existing infrastructure may not be measured using this tool.

Check out last week's Property Week article by David Lawson which profiles Zavanti's UK Director, Nick Virr.

Nick has been in the property and construction software business for over 15 years now and has recently moved back to the UK from Australia to establish Zavanti's foothold there.

On his return, he found that no one appeared to have created a similar unified program in the UK, thus he saw a new market for Zavanti and is currently doing the rounds of developers there. ‘Because it is a single system, development managers can see the cash flow effects of a released contract, finance managers can see borrowing levels and cash needs, management can see all indicators real time,’ he says.

‘More timely information allows businesses to know exactly how they are operating in real time. There is no need for costly updates to interfaces and no need to get caught between vendors.’

A recession may not seem an obvious time to launch software, but Virr believes the current havoc means that such a system is even more attractive because it can deal with the fast-changing circumstances.

Inaugural Gulf States Building Awards

Organised by Building magazine and endorsed by the Emirates Green Building Council, the inaugural Gulf States Building Awards were held in Dubai on November 13. The awards highlighted the most exceptional projects across the six member states of the Gulf Cooperation Council (Bahrain, Kuwait, Qatar, Oman, Saudi Arabia and the United Arab Emirates).

Atkins was named Engineering Consultant of the Year following its work on projects such as the Bahrain World Trade Centre, while EC Harris, beat Davis Langdon and Mace to win the Construction Consultant of the Year Award.
The hotel project of the year went to Shangri La Qaryat Al Beri Hotel in Abu Dhabi, while the the infrastructure project of the year award was won by the Al Garhoud Bridge, a 14-lane road bridge in Dubai. Downtown Burj Dubai won the BIW Technologies sponsored award for best mixed-use project of the year for boasting the world’s tallest tower and world’s largest shopping centre.

For the event sponsors, such as Davis Langdon, Mace, and Leighton, the awards provided an opportunity to raise their profiles in the eyes of many of the Gulf region’s major contractors and consultants. Retirement Villages the next Construction Boom

At the Property Council of Australia's recent Ageing of Aquarius II Conference, Peter McMullen, National Director for Health and Aged Care Services for Jones Lang LaSalle, presented his research paper, "Is Supply Meeting Demand or Missing the Mark?"

McMullen says that Australia's rapidly ageing population has resulted in an abundance of retirement village development opportunities across the nation. "To meet this surge in demand, it is predicted that up to 140,000 new dwellings in retirement villages are needed over the next 15 years, equating to an investment of about $42 billion (in 2008 dollars) in new construction,"
he says.

He also found that Retirement Village living is also becoming more accepted as participation rates are continuing to increase. "At present, approximately 5.25 percent of the over-65 population live in retirement villages, a significant increase from the 3 to 3.5 percent benchmark from only eight or nine years ago."

At present, there are more than 500 new villages with more than 51,000 new units either proposed, approved or under construction. In existing villages, another 20,7000 new units are either proposed, approved or under construction.

McMullen believes that, "despite the current softening in market sentiment in all property classes, the long-term future of the Retirement Village industry is secure with significant opportunity for investment."

New Operational KPIs and Performance Management Report

A recent report by Aberdeen and Corda Technologies, has found that adoption of Operational Performance Management capabilities has improved customer satisfaction rates of Best-in-Class companies by more than 4.5x that of industry average companies.

The report, “Operational KPIs and Performance Management”, has revealed that Best-in-Class (BIC) companies – those performing in the top 20% of all research survey respondents – have taken multiple approaches to improving their operational performance through the establishment and management of operational key performance indicators (KPIs).

The report found that the areas for operational performance upon which Best-in-Class companies are more likely to focus their efforts are:

Customer performance - Including metrics for customer satisfaction, customer issue resolution speed, customer issue resolution accuracy, and customer retention rate

Service performance - Including metrics for first call resolution rate, service renewal rate, rate of compliance to SLAs, delivery performance to customer, and product return rate

Sales operations - Including metrics for new pipeline accounts identified, meetings secured, conversion of inquiries to leads, average call closure time, and dials completed per hour, shift, and day

Financial operations - Including metrics for price to purchase order accuracy, purchase order fulfillment ratio, quantity earned (revenue can be recognised), forecast to plan ratio, and total closed contracts

Loans a developing problem for construction industry

This recent article highlights the issues that developers and builders are facing as they attempt to borrow money during the current financial crisis.

Monarch Investment’s Chief Executive, Peter Icklow advised that, "The whole process of getting finance is now taking twice or three times as long as it was before the credit crisis".

He added that, borrowing problems were exacerbated for developers because the confluence of falling property prices and high taxes meant many projects were now unviable, forcing many developers out of the market, and intensifying the housing shortage.

Chief Executive of the Master Builders Association, Wilhelm Harnisch, said many builder members were also being turned away by lenders.

"Even some of our biggest building members, despite having been major clients of the major banks for many years, are now being told there is just not enough money to go around," Harnisch explained.

Time for an Accounting System Overhaul?

In a recent IT Showcase News article, two leading UK Construction Software providers, RedSky IT and EasyBuild, presented their opinions as to why companies in the building and property development sector should look into an accounting system overhaul. We believe this is a significant issue considering today’s volatile economic climate, which is forcing many organisations to look at managing and tracking their business processes and costs more effectively.

Like RedSky IT and EasyBuild, we at Zavanti have found that most organisations usually have a core accounts system, which runs the ledgers and payroll, captures contract costs and maybe handles purchase order processing. In addition, they often have several other standalone systems providing Feasibility Analysis, Estimating and Valuations, as well as numerous Excel Spreadsheets.

However, more and more companies are coming to realise that using several different systems patched together is not the way forward. These organisations and are now looking at making the move to integrated systems which cover the complete construction and development lifecycle; from Feasibility and Estimating, through to Subcontract Tendering and Management, Purchase Orders, and Stock and Sales Management, as well as traditional backend Financials and Payroll.

There are many benefits to be gained from moving to a complete end-to-end business solution, which pulls the traditional banks of data that exist in separate departments together, from better decision making, increased operational efficiency and resource utilisation. A clear return on investment will also be achieved from a reduction in overheads and support fees.

EasyBuild advise that success can bring its own challenges. As you become established and your order book grows you need to know that you don’t have to worry about managing your accounts and that you can still maintain control and access to your key business information.

In addition, with tougher rules around financial compliance the connection between technology and business has never been stronger or more important. Integrated financial software systems are bringing greater levels of control and automation and audit ability to business processes.

EasyBuild argue that standard accounting systems have never been good at monitoring the leading operational indicators that drive profit. For this reason an industry specific solution that is aligned to these indicators should be considered to get the maximum benefit from your investment. Accurate financial information is critical to the decision making process and without the aid of a robust financial software system this is difficult to achieve.

Both RedSkyIT and EasyBuild conclude that technology is here to stay and businesses large and small should use it to their advantage. If you are a company with public sector or large corporate organisations as customers, the need to change is more significant as you could potentially be excluded from their supplier’s lists due to an inability to do business electronically.

As we draw to the close of another financial year we look at how the year has gone and what we can look forward to next year.

For everyone, the Australian and global economic woes, evidenced in the oil price spiral and interest rate rises, have put pressure on all businesses and at best have dampened our outlooks for next year. However, we would like to present some positive statements for the coming year.

2008 has started as a busy year for the team at Zavanti. Whilst we are all watching the global economic environment, especially as it continues to impact our key business sector – Property, we are also aggressively looking to the future.

We’ve commenced marketing in the UK and released our ERP solutions in New Zealand. We are also in negotiations to expand into the Middle East and India, with the USA as the next area of opportunity. We’ve just released our latest upgrade and continue to work on new developments. All of this moves us closer to our goal of being the preeminent supplier of technology solutions to the property sector globally.

UDIA National Congress 2008

Study on the adoption of Collaboration Technology by Australian Construction now closed

With 285 respondents surveyed across property, construction and engineering, our recent market research project, designed to investigate the use of collaboration technologies and project extranets by the Australian construction industry, has now closed and the full report will be published soon.

The study, conducted on behalf of John Lowry from Expert Eye, aims to provide a representative, quantifiable measure of the various benefits identified by people with firsthand experience of using collaboration tools on live projects, thus providing the first set of objective statistics and figures from an Australian perspective and a means to benchmarking against similar studies from other countries such as the UK Research Project, “Proving Collaboration Pays” undertaken by the NCCTP in 2006.

The results will form the basis of the paper which will be delivered by Lowry at the CRC for Construction Innovation 3rd international conference in Queensland in March.

Selecting the right ERP software

Selecting and implementing a new software system can be quite overwhelming, what with the number of vendors vying for your dollars and the varying complexity of solutions on the market. The Technology Evaluation Center (TEC) has recently published an interesting Guide to selecting Process ERP Software. This guide examines why over 50 percent of implementations fail to meet functional and total cost expectations, and how these issues can be addressed.

In summary, TEC have found that project teams run into trouble for three main reasons:

They have no effective way of identifying the critical vendor and product questions necessary to successfully initiate the evaluation process.
Once identified, they generally do not prioritise the different criteria. As a result, final priorities are often the result of internal politics and not true needs and requirements.
It is common for Vendors to exaggerate their capabilities, product and service if it enables them to move to the next phase of the deal. Project teams often do not have the ability to gather objective, validated, updated data on different vendor alternatives.

TEC advise organisations to create a structured, repeatable process for evaluating technology solutions and the vendors that provide them. Best practices drawn from TEC’s clients that have completed internal technology selections suggest that project teams examine five key categories of criteria, which investigate product-specific capabilities and the vendor's overall capabilities.

1. Product Functionality
As the primary stage in ERP software selections, this phase assesses the features and functions delivered by the product as it currently exists - i.e. what capabilities are available out of the box. Other criteria, such as service and support, corporate viability, and strategy, also contribute to software selection.

2. Product Technology
This phase defines the technical architecture of the product and the technological environment in which the product can run successfully. Sub-criteria might include application architecture, software usability, administration, platform and database support, application tools, workflow and document management, and reporting capabilities.

3. Corporate Service and Support
This set of criteria defines the capability of the vendor to provide implementation services and ongoing support. TEC have found that many industry surveys have identified this category as the single largest differentiating factor among potential selection options, as well as the greatest indicator of user implementation success and long-term vendor viability. Components of service and support might include consulting, systems integration, project management skills, geographic coverage and time coverage of the vendor help desk.

4. Corporate Viability
Crucial yet often overlooked, this category examines the financial and management strength of the vendor.

5. Corporate Strategy
The most strategic and long-term set of evaluation criteria, this phase evaluates the corporate road map and strategy of the software vendor with regards to specific timelines of how the product will be developed, sold, and supported within the process ERP software market.
